Immediately hiring an Executive Assistant with 5 yrs. legal experience for a professional service firm on the northwest side of San Antonio.Shift is Mon. – Fri. 8:00am to 5:00pm. Pay is up to $27/hr. depending on experience
Responsibilities:
- Include providing the Consultant with administrative and personal assistance, initiating new files, scheduling, communicating, and coordinating the Consultant's file related. commitments with the client and within the organization.
- Coordinates internal and external activities to ensure the Consultant is making the most effective use of time.
- Reviews Consultant calendar daily for accuracy; anticipate needs related to upcoming client events and internal deadlines.
- Maintains Consultant’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, court appearances, inspections and travel. Coordinates and schedules the activities with clients and resolves scheduling conflicts as necessary.
- Edits/proofreads Consultant’s Technical Reports and other documents as requested.o Reviews the incoming correspondence and communicate the identified notices/requirements to the Consultant, Operations Managers, or other personnel as necessary and appropriate.
- Communicates with others involved on assigned files and works as a team so that complete and responsive client service is provided.
- Oversees the organization of case materials and work products from support staff necessary for the Consultant’s scheduled commitments.
- Provides support and coordination for related positions, such as Radiologist, Technical Directors or Engineers as needed within the scope of the Consultant’s activities, including coordination of internal and external events and related travel as warranted.
- Maintains contact with clients as necessary to ensure information is received in an appropriate time frame.
- Answers and appropriately screens telephone calls, and manages and accurately documents calls, including new matter inquiries.
- Uses the Client Management System to set up client firm record and maintains/modifies client contact lists as necessary.
- Completes timesheets, expense reports and reconciles business credit card for the Consultant.
- Ensures staff compliance with corporate training, policies, procedures, and standards of behavior.
Minimum Requirements include:
- Five + years of executive/legal experience in the fields of product liability and/or personal injury.
- Proficient in word processing and typing.
- Critical thinking, attention to detail, organizational, and excellent communication skills.
- Associate or Bachelor’s degree in secretarial or paralegal studies, business administration, management or related studies preferred.
