Job Title: Residential Sales Assistant
 Employment Type: Full-time
 Salary: $18 per hour
 Schedule: Monday – Friday, 7:30am to 4:30pm. Some overtime will be available, depending on project

 
  • Job Basics
    1. To perform sales-related administrative tasks and assist the project managers in providing 100% customer satisfaction.
  • Specific Tasks
    • Take and make phone calls to customers, including follow up phone calls within 24 hours of sending out a bid to a customer. Including taking calls of an unpleasant nature.
    • Pre-qualify leads and record call details into Smartsheet and set appointments for Project Managers.
    • Maintain Smartsheet accurately for use in weekly bid reviews.
    • Utilize Smartsheet for the entire sales process (documenting all correspondence up to win/losing the bid).
    • Once the bid has been accepted and a contract signed, gather all information (such as CAD drawings and materials lists and all other paperwork for the job package and submit it to production within 48 hours).
    • Calling in locates.
    • Checking in by 3pm for jobs scheduled for the next day.
    • Schedule pre-construction meetings for jobs over $15,000.
    • Handle customer calls that could not be put through to the project managers directly, communicate with customer by phone when concerns arise, including setting and changing appointments as needed.
    • Upselling: Asking the customer if they are aware of other services we offer and inform them (i.e., staining, decks, etc.).
    • Ask for referrals and on-line reviews (when they are likely to be positive) on every job.
 
  • Assist Project Managers With (but not limited to) The Following
    • Qualifying leads.
    • Sending bids.
    • Estimating jobs by quoting using Google maps, etc.
    • Getting job packets ready for production/installation.
    • Get quotes for special materials.
    • Process down-payments.
    • Dealing with addendums and last-minute changes.
    • Research products.
    • Attend bid meetings. Will need a good working knowledge of all jobs in the system and provide updates and information.
    • Answer customer’s questions.
    • Answer manager and employee questions.
    • Respond to e-mails.
    • Set up new jobs.
    • Submit and request drawings from CAD dept.
    • Push through Q inspections of jobs and push through invoicing.
    • Collections for Residential accounts.
    • Communicate with Inventory, QC Superintendents, Project Managers throughout the day to confirm scheduling or issues that have arisen.
    • Keep production and installation on schedule.
    • Communicate with Project Managers on changes, updates or inventory and update Outlook calendars.
    • Organizing and maintaining project files.
    • Follow up on all leads by phone and email within 24 hours of sending.
 
  • Other Responsibilities/Tasks
    • Always ensure the company’s insistence on safety while providing 100% customer satisfaction.
    • Essential tasks will not be limited to this job description but will include any reasonable task assigned by a project manager.
    • Dependability and punctuality is essential to this role.
    • The need to be flexible is very important.
 
  • Essential Skills
    • Computer literacy is essential. Able to learn and grasp accounting, CRM and other software programs that might be new to the employee.
    • Must be very familiar with Microsoft Office including Excel, Word and Outlook.
    • Organizational skills and multi-tasking.
    • Excellent people skills and communication (extrovert/Type-A personality).
    • Ability to multi-task.
    • Ability to listen to a customer’s concerns and communicate persistently.
    • Ability to receive constructive feedback to improve and excel.
    • Good math and written skills.
 
  • Qualifications
    • High School Diploma, associate’s degree preferred.
    • At least five years performing similar multi-tasking roles.
    • Computer training and certification in Microsoft Office and similar industry standard software an advantage.
    • Knowledge of Computer Ease software an advantage.
