This is a privately held San Antonio-based designer and manufacturer of precision-engineered architectural lighting fixtures. Position Summary: The Executive Assistant to The CEO will provide exceptional, detail-oriented administrative support to the CEO.

Essential Duties and Responsibilities:

  • Manage CEO’s day-to-day calendar, including making appointments.

  • Prepare presentations, agendas, and minutes for key meetings.

  • Coordinate / integrate personal activities and travel with CEO’s business calendar, requiring coordination with both internal and external executives and assistants.

  • Manage CEO communications, including assessing inquiries directed to the CEO, determining proper course of action, and drafting replies.

  • Schedule domestic and international travel, with attention to detail in bookings, pick-ups, and attendant meetings.

  • Answer incoming phone calls in a polite and professional manner and accurately taking messages.

  • Accommodate urgent schedule changes or requests that may require periodic evening and/or weekend calendar checks, as well as remotely supporting the CEO while traveling.

  • Extraordinary organizational skills, attention to detail, and ability to multitask.

  • Act as a gatekeeper and escalate relevant information as needed.

  • Work with staff at all levels, sometimes under pressure, while remaining proactive, resourceful, and efficient, with a high level of professionalism, discretion, and confidentiality.

  • Excellent written and oral communication skills. Ability to compose and critique business communications and other materials.

  • Proven ability to take initiative, be resourceful and creative in problem-solving, and very diplomatic in personal and phone communication.

  • Proven ability and willingness to take direction, with exceptional follow-up skills to ensure timely completion of projects.

Required Education and Experience:

  • Bachelor’s degree from an accredited college or university. English or a Business degree is a plus.

  • Experience handling a wide range of administrative and executive support tasks and projects.

  • Proficiency in note taking to ensure the capture of key ideas and action items.

  • Advanced knowledge of Microsoft Office to include Word, Excel, PowerPoint, Outlook, and Teams.
