VIP Staffing is hiring for an Administrative Assistant in one of our largest branches. The Administrative responsibilities to include the following:
Greet and assist all applicants through application process.
Answer incoming calls, check and return voicemail messages, and ensure phones are covered during lunch.
Provide excellent customer service to all temporary staff. This includes, but it not limited to investigating and resolving payroll and time card discrepancies, notifying recruiters if they call in to report a late arrival, unscheduled absence or other assignment related information. Update all contact information in database if there are any changes.
Assist recruiting team in creating an efficient applicant flow.
Assist with follow-up on ad responses for open job orders.
Effectively phone screen candidates for temporary, temp-to-hire, and direct hire placements. Coordinate recruiter interviews as needed.
Administer the entire pre-employment screening and new hire paperwork process. This includes but is not limited to new hire paperwork, processing I-9 and E-Verify, background checks, drug tests and assisting with client orientation as required.
Maintain and update the company’s database and filing system.
Ensure lobby and office areas are always clean and presentable.
Input payroll for temporary employees into payroll system and double check for accuracy to avoid payroll and billing issues.
Assist HR/Payroll Department with investigating and resolving payroll discrepancies. Ensure time cards are received from clients prior to the payroll deadline.
Assist with other duties as assigned.
Qualifications and Skills
2 years of customer service experience, preferably in a fast-paced professional office environment
Maintain a positive, professional, upbeat and friendly image – even in difficult situations
Basic knowledge of payroll
Excellent verbal and written communication skills.
Detailed oriented, organized and ability to multi-task
Professional appearance and attire
Self-starter with a sense of urgency
Excellent data entry skills
Proficient in Microsoft Office
